Collaborating with other users to complete a task (deprecated)

While working on a task in Heritage Process Portal, you might decide that the most effective way to complete the work is to have someone work with you directly on the task. You can invite one or more users to collaborate with you.

About this task

Attention: Depending on how Heritage Process Portal is set up, collaboration might not be available. Collaboration is not supported at all for Safari on iPad.

Procedure

  1. Click the down arrow to the right of the task name and select Collaborate.
  2. Enter the name of the user or select a suggested collaborator, and then enter your message. You must invite each user individually. Each user that you invite receives an invitation to collaborate with you. When an invited user joins the task, a collaboration bar is displayed above the information for the task. Invited users join in the View mode.
  3. Allow an invited user to work on your task. In the collaboration bar, pass the editing rights to your invited user. Although you might have invited several people to help you with your task, you can collaborate with only one invited user in a collaboration session. In addition, only one person can edit the task at any one time. You can end the collaboration session at any time. In addition, if you close Heritage Process Portal while someone else is working on your task, the invited user can no longer work on your task.

Results

If you or one of the invited users completes the task, it is moved to your list of completed tasks. Invited users with outstanding invitations can see the completed task on the Details tab for the process but they cannot make any changes to the task.
