Sharing pages in spaces

If you own a page in a space, you can share it so that other people can see its information. You can also give people permission to edit the page.

About this task

When you share a page, you can designate users as viewers or editors directly or indirectly. When you designate users directly, you explicitly add users to the list of viewers or to the list of editors. When you designate users indirectly, you add the groups to which the users belong to the list of viewers or to the list of editors.

By default, the page inherits the viewers and editors of the space that contains the page. You can add additional users and groups to the inherited users and groups or you can remove the inherited users and groups and directly specify who can view or edit the page.
Attention: When you share a page with another user, the page will not be viewable to that user if you did not also share the space that contains the page with that user. In this case, either share the space with the user or provide a URL link to the page and send it to the user.

Procedure

  1. Click Manage Spaces. The Space Manager opens.
  2. Expand the space by clicking the expand icon to display the page that you want to share.
  3. For that page, click Actions > Share. The Share window opens.
  4. If you want to override the permissions inherited from the parent space, clear Include viewers from parent and Include editors from parent. Otherwise, a user or group can be listed in the permissions for the page or listed in the permissions for the space and have access to the page.
  5. Select whether you are searching for a person or a group in the search field by clicking show search scope and then either selecting User Search or Group Search. To share the space with everyone, choose Group Search.
  6. Type the name or partial name into the search field and click search. If you want to share the space with everyone, type an asterisk (*) or search for the All Authenticated Users group. The Search Results field displays the user names or groups that contain the search field text anywhere in their name or ID.
  7. To assign a person or group to the viewer role, select the person's user name and then click Add to View. To assign a person or group to the editor role, select the person's user name and then click Add to Edit. The user name or group now displays in the Viewer or Editor list.
  8. To remove a person or group from a role, select the user name or group name and click Remove Selected from List.
  9. Click Save.
  10. To close the Space Manager, click Done.
